Privacy, Data Security and Our Terms and Conditions

For Boards

We warrant that we will not use any information received or provided via this website, or provided to us in any other way for any purpose other than for the purpose stipulated in your service agreement. Should we receive information relating to an organisation with which we have no agreement, we will simply report this directly to the organisation’s Board for them to action in a way they see fit.  We will also notify the reporters that this has been passed onto the Board concerned.   

 

We will take reasonable steps to ensure that your organisational reports are only divulged to the Board and any approved representatives. We take all efforts to retain the confidentiality of the data but if the data is made available through any other means, this confidentiality policy may not apply.

 

Please note that we may decide not to share all of the information that we receive in a complaint (or via any other means), for any reason, especially when it divulges the identity of the person who made the complaint (the complainant wishing to remain anonymous), unless required by law do to so.  We take the anonymity of our reporters very seriously and hence will make all efforts to keep a person’s identifying data confidential.

Notwithstanding this, we will not be liable for any loss, harm or damage suffered by
you or any other person:

  • As a result of, or arising out of the receipt or provision of any information provide to us by any means;

  • As a result of us investigating the matter;

  • As a result of us disclosing the relevant information to your assigned representative and the Board.

Given the nature of electronic communications today, and while we have taken all steps to protect data, no data transmission can be totally secure. We make our best efforts to safeguard the information but cannot be held liable for any breaches. Any data submitted to us, in any way, including written or verbal, is done at your risk.
 

We are bound by Australian and New Zealand Privacy Privacy Principles contained in legislation. We review these from time to time to ensure that we are in line with the most up to date legislation.

For Reporters

We have taken all reasonable steps to ensure that any data you provide and your personal details are secure. We do our best to ensure that your confidentiality and anonymity is protected. We will not disclose your identity unless you authorise us or if required by the law to do so. We aim to actively de-identify you, the  reporter, in all complaint reports. All other identifiable information pertaining to the complaint/report
remains.

While making a report, you do not need to provide us with your real name or contact details. It is completely up to you if you wish to remain anonymous. When you submit information to us, you confirm that you are giving us express consent to hold and action (as appropriate) the information. All the information we hold on you is kept secure and by submitting this information to us, you confirm that this is information that you have freely provided to us.


When you make a report, you will be given a unique number. Please retain this and quote this in any future correspondence especially if you wish to ascertain the status of your complaint. We are unable to disclose any information if you do not have this unique case number. This process has been instituted to ensure that there is no unauthorised access, especially where no name has been provided to maintain anonymity.  However, should you lose your unique ID, but provide us with satisfactory proof that you were the initial reporter, we will disclose progress on the matter to you.  

 

If your complaint contains personal information about another party, we will collect this information and provide it to the Board (or a representative nominated by the Board) of your organisation.


Details of your complaint, excluding your name, if you wish to remain anonymous, are provided to the Board or its representative. There is also likely to be an investigation into the matter reported.  It should be noted that while all efforts are made to preserve your anonymity, the nature of your complaint could sometime erode some of that anonymity.
